Overview
WA Bus and EV Solutions (WABEVS) recognises the importance of protecting an individual's privacy. We appreciate that individuals are concerned about the security of their personal information, and we are committed to protecting any personal information we hold and to meeting our obligations under relevant legislation.
This privacy statement addresses how WABEVS handles your personal information collected in connection with product and services sold in Australia.
For information to be personal information, it must be:
- about an identified individual; or
- about an individual who is reasonably identifiable.
Therefore, when we refer to ‘personal information’ we mean any information that can be used to identify an individual, or from which an individual is reasonably identifiable.
What is personal information?
Personal information includes a broad range of information, or an opinion, that could identify an individual. What is personal information will vary, depending on whether a person can be identified or is reasonably identifiable in the circumstances.
For example, personal information may include:
- an individual’s name, signature, address, phone number or date of birth
- sensitive information
- credit information
- employee record information
- photographs or video footage
- internet protocol (IP) addresses
- voice print and facial recognition biometrics (because they collect characteristics that make an individual’s voice or face unique)
- location information from a mobile device (because it can reveal user activity patterns and habits).
The information we collect
The type of information that we collect may include, but is not limited to:
- Contact information: Including name, organisation, address, city, state and postal code, email address and telephone number
- Vehicle information: Including vehicle identification number (VIN), registration number, fleet number, make, model, model year, selling dealer, servicing dealer, date of purchase and service history
- Non-credit related marketing profile information: Including the industry sector of operation and vehicle(s) you may have expressed an interest in
- Survey responses that you provide to us including personal information provided as part of your response
- Incentive eligibility verification information
- Web activity such as browsing history on our website
- Photographs: Including those that you may submit for contests, social media, credit checks or relating to an after-sales inquiry and/or warranty claim
- Video footage: Including that captured via closed circuit television cameras operating on one of the company sites, and/or footage captured at a company hosted event.
If we receive information about you from a third party, including WABEVS affiliated OEMs, wherever practical we will make sure they undertake to comply with any applicable privacy laws. This may include vehicle performance data (including engine and transmission performance) if a telematic system is installed.
When We May Request Your Banking Information
WABEVS is committed to safeguarding your privacy and ensuring secure handling of your information. We do not request sensitive information, such as banking details, passwords, or personal identification unrelated to an enquiry and/or through unsolicited email, SMS, or phone calls. However, there are specific instances when WABEVS may request your banking information to facilitate transactions. These include:
- Customer Refunds: When processing refunds to cash customers for overpayments, incorrect charges, or cancellations.
- Supplier Payments: When making payments to vendors or suppliers providing goods or services to WABEVS.
- Credit Account Setup: When establishing credit accounts for customers, where banking details may be part of the setup and assessment process.
- Employee Payroll: When setting up payroll information to ensure secure and accurate salary payments for WABEVS employees.
- Telephone Sales: For phone-based sales transactions, where WABEVS representatives may need to take payment information. In these cases, the representative will inform you if they must note down any details temporarily and will securely dispose of this information after processing.

The information we do not collect
We do not collect sensitive personal information. This includes information concerning religious beliefs or affiliation, racial, ethnic origin, political opinions or other beliefs, memberships of political associations, memberships of professional or trade associations, union affiliation or activities, genetics, biometrics, sexual orientation or practices, criminal records, criminal administrative proceedings, or sanctions.
If WABEVS accidentally collects sensitive personal information, we shall act promptly to reduce the risk to the individual(s) whose data was collected. Steps taken shall include:
Identifying the data owner - WABEVS will attempt to identify the data owner, such as from the sender's email address, telephone number, letterhead.
Contacting the data owner - If WABEVS can ascertain contact details for the data owner, it will contact and inform the data owner of the error and agree on how to resolve it.
Containing the information – WABEVS shall not share the information with anyone else
Deleting the information – WABEVS shall permanently delete the information from data repositories.
How we collect information
As you interact with WABEVS, our OEM providers, dealers and authorised service outlets, you may provide us with personal information. This can occur during interactions or transactions including:
- Requests for quotation
- Contracts of sale
- Vehicle servicing
- Purchase of parts
- Applications for employment
- Applications for credit accounts
- Attendance or activity on a WABEVS site that is captured by closed circuit television
- Product demonstrations and related events
- Test drives or product trials
- Surveys
- Social media platforms
- Website cookies and website forms
- Email correspondence
We additionally obtain information about you and your vehicle from WABEVS affiliates, including OEMs, WABEVS dealers and authorised service outlets, if such companies are permitted to share your information with is pursuant to their respective privacy statements or policies.
How we use your personal information
The personal information we collect will be used:
- To maintain customer relationships
- To provide customer and vehicle support and service (such as recall information and warranty service)
- To provide you with products and service information about our products and services
- To operate our website and applications
- To evaluate vehicle performance and safety
- To evaluate suitability for employment
- For safety and product research purposes
- To verify eligibility for incentive programs.
- To address customer complaints about their vehicle and parts.
- For marketing purposes
- To customise and improve communication content
- To comply with legal requirements and to exercise legal rights
Recruitment
If you provide us your personal information as part of an application for employment, we will use this information to assess your application and may disclose this information to our related companies and contracted service providers for purposes such as aptitude, psychological and medical testing, and human resources management activities. As part of the application process, we will ask for your consent to obtain information about your pre employment medical examination (including drug and alcohol testing) and psychological and aptitude testing. The results of these tests may be used and disclosed as necessary. We may also collect your personal information from third parties (such as your referees).
A refusal to provide any of this information, or to consent to its disclosure to us or allow us to provide this information to the parties described above, may affect the success of your application. If your information is provided via a third party, eg a recruitment consultancy, or employment marketplace company, the privacy of your information and the duration for which it is retained, will be subject to the privacy policies maintained by such parties.
Cookies
The WABEVS website uses ‘cookies’ to remember user preferences and to maximise the performance of our websites and services. Cookies may also be used to autofill fields on web forms such as geographical location based on your IP address. This information can be corrected by you before submitting any form or inquiry or you can disable cookies, and the information will not be collected.
Tracking Pixels
We may also place tracking pixels in our emails to measure the effectiveness of our email campaigns by identifying the individuals who open or act upon an email message, when an email message is opened, how many times an email is forwarded, the type of software, device, operating system, and browser used to deliver the email and any URL accessed through the email message.
To measure site activity and provide a better user experience, we may allow our service providers or business partners to compile information from the cookies, tracking pixels or other technologies on our websites. This may include information about your visit (such as demographic data, browser type, IP address, pages visited, activities conducted on the page and the day and time of your visit). We may also allow third party advertising and personalisation partners to use this information to develop personalised content and appropriate advertising based on your visits over time on WABEVS websites and non-WABEVS websites.
This information may also be used to evaluate our online advertising campaigns or to tailor promotions and other marketing messages to you. WABEVS websites may contain links to third party sites not controlled by WABEVS or covered by this privacy statement, such as those belonging to affiliated OEMs, dealers, authorised service outlets, and licensees.
When We Disclose Your Personal Information
We may share your personal information in the following instances:
- As permitted or required by law, in conjunction with subpoenas, government inquiry, litigation, dispute resolution or similar legal process.
- When we believe, in good faith, that disclosure is necessary to protect your safety or the safety of others, protect our rights and interests, or investigate or protect against fraud or respond to law enforcement requests.
- In the provision of warranty for new vehicles.
- To address customer complaints about their vehicle or parts.
- With our service providers who require vehicle information such as a VIN in order to correctly identify and order parts.
- With our business partners for WABEVS marketing activities, business partner marketing activities or both.
- In connection with the sale, transfer, or financing of a significant part of a WABEVS business or its assets, including any such activities.
- Within WABEVS, with our WABEVS controlled subsidiaries and OEM affiliates, with dealers, authorised service outlets and with licensees.
How We Keep Your Information Safe
We maintain reasonable and adequate technical, administrative, and physical security and confidentiality measures designed to help protect your information from unauthorised access or acquisition. Technical measures include encryption protocols for data in transit, and volume encryption for data at rest. We also require by contract (other than in an emergency situation) that third party service providers acting on our behalf or with whom we share your information also undertake to provide such security and confidentiality measures in accordance with industry standards. Video footage obtained from closed circuit television cameras is retained for no more than 60 days before being permanently deleted.
Dealers/Authorised Service Outlets
When you buy a vehicle from a WABEVS dealer,or have a vehicle serviced by a dealer or authorised service outlet, they may share your information with the vehicle distributor. You are advised to read their privacy policy or statement to ensure that you understand their privacy practices and procedures.
We may collect information about dealer or authorised service outlet staff directly from those staff or from dealers or authorised service outlets directly. We may collect information about the staff of our suppliers directly from those staff or from other staff of those suppliers. The information that we collect about dealer or supplier staff may include their name, position, contact details and training records.
Employee information
Please refer our separate policy document D30-007 regarding the personal information we collect, retain and use as it relates to our employees.
Contacting us and making an information request or complaint
We will strive to ensure that information about you is accurate when we collect or use it. Subject to some exceptions under privacy laws, we will, on your request, give you a copy of the personal information we hold about you and correct it if it is inaccurate, incomplete, or out of date. We note that this process does not cover requests for information which is not personal information.
If we do not grant you access to your personal information, we will tell you why. If you request corrections to your personal information and WABEVS agrees with your request, the corrections will be made as soon as practicable. If WABEVS does not agree to your request for correction, it will notify you of the reasons it does not agree with and will note your request on the records it
holds about you.

Please be aware that if you have subscribed to a particular newsletter or other communication, you should follow the instructions in the email or on a related website to unsubscribe. If you opt out of receiving marketing communications from WABEVS, your personal information will not be used for marketing purposes but may still be used for the other purposed described in this privacy statement (such as vehicle support and service).
If you believe that your privacy has been interfered with, please contact us using the contact information above providing details of the incident so that we can investigate it. We request that complaints about breaches of privacy be made in writing, so we can be sure about the details of the complaint. We will treat your request or complaint confidentially. Our representative will contact you within 30 business days after the recipient of your complaint to discuss your concerns and outline options regarding how they may be resolved. We will aim to ensure that your complaint is resolved in a timely and appropriate manner.
